Privacy Policy
This policy explains what information The Ivy Academy collects through theivyacademy.com and in the course of an engagement, how we use it, and the choices you have. We work with families and their children, so we keep this short and plain.
Information you give us
When you request a consultation, you give us your name, email address and phone number, and tell us about your child: their grade, school, interests and goals. If you engage us, we also receive the material the work requires, which can include transcripts, test scores, activity lists, essays and application drafts.
Information collected automatically
Our hosting provider keeps standard server logs, including IP address, browser type and the pages requested, for security and performance. This site does not use advertising cookies or third-party trackers. If we add analytics in future, we will say so here first.
How we use it
We use the information we hold to:
- respond to your consultation request and talk with you about your child
- deliver the services in your engagement agreement, including matching a student to an internship host
- communicate with you and, with your consent, with your child
- keep the site secure and improve it
- meet our legal obligations
Students and children
Our clients are parents and legal guardians, and the information we hold about a student comes from them or is shared with their consent. We do not knowingly collect personal information directly from a child under 13. A parent may review, correct or ask us to delete their child's information at any time by contacting us.
How we share it
We do not sell personal information, and we do not share it with advertisers. We share it only:
- with service providers who help us run the business, such as hosting, email, scheduling and payment processors, who may use it only on our instructions
- with a prospective internship host, with the parent's agreement, and only the information the host needs to consider the student
- with a college, university or testing body only when you direct us to
- when the law requires it, or to protect the rights and safety of a student, a family or The Ivy Academy
- with a successor if The Ivy Academy is ever sold or merged, under the same commitments
How long we keep it
We keep consultation requests for as long as we are in conversation with you, and engagement records for as long as the engagement lasts and for the period afterwards that our legal and accounting obligations require. You may ask us to delete your information sooner, and we will unless the law requires us to keep it.
Security
We use reasonable administrative and technical measures to protect the information we hold, and we limit access to the people who need it for their work. No method of storage or transmission is completely secure, so we cannot promise absolute security.
Your choices
You may ask us to show you the information we hold about you or your child, to correct it, or to delete it. You may also ask us to stop sending you marketing email at any time. Residents of some states have additional rights under state privacy law; we honor those rights without discrimination. To make a request, contact us using the details below.
Where it is held
The Ivy Academy operates from the United States, and the information you give us is stored and processed there.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed. If a change materially affects how we use information you have already given us, we will tell you.
